Job Description

 The Property Coordinator provides direct support to the property management team in coordinating the day-to-day activities of the facility and addressing the issues of tenants. The Property Coordinator is expected to develop and maintain strong working relationships with the tenants and be accountable to management for ensuring issues and needs are responded to and resolved by the appropriate individual, department, or service.
This position will also have some responsibility for general administrative, accounting, help desk, and event coordination functions as they pertain to tenants and operation of the building. Responsibilites include:
  • Assists with billing and other tenant charges in compliance with lease agreements. Processes invoices and audits accuracy against service contracts, scopes of work and property budget, and assists in preparation of monthly accruals.  Manages property email.  Utilizes Ariba system and platform functionality, and audits vendor accounts and accounts payable  
  • Assists property management with day-to-day operation of the property in accordance with policies/procedures, management agreements, and client needs. Responsible for the tracking and management of, among other things, service agreements, COIs for retailers and vendors, and lease violations. Will construct temporary storage lease agreements and administer access / timing, as well as maintain contact information of retailer management, preferred vendors, and emergency contact information
  • Actively maintains sales and financial information and serves as controller of prepaid gift card program. Responsible for reconciling prior day sales, gift card inventory management and cash management, all while complying with Anti Money Laundering Laws, PCI Compliance and company policy, and gift card inventory management
  • Assists with billing and other tenant charges in compliance with lease agreements. Does coding and processing of invoices, data entry into accounting system, producing purchase orders for contract materials and services, and requesting W-9 forms from new vendors in order to set them up in accounting system. Coordinates with all parties for rent roll-up and reconciliation and compiling monthly report to owner
  • Assists with general administrative tasks as assigned including filing, answering phones, distribution of mail, written correspondence especially to tenants, ordering supplies, computer and data entry work, and preparing spreadsheets and reports

  • College degree preferred
  • 3-5 years administrative office experience (office management preferred) in a fast paced environment
  • Supervisory and coaching skills with the ability to delegate tasks
  • Knowledge of administrative procedures, customer service principles and practice
  • Aptitude for understanding financial reports and extracting information
  • Strong working knowledge of various computer software such as Microsoft Office, JD Edwards, OneWorld, and Web based input software
  • Demonstrate effective conflict resolution and customer service skills for interaction with customers, tenants and co-workers
  • Effective verbal and written communication
  • Strong organizational and interpersonal skills with attention to detail 
  • Ability to prioritize, coordinate, multi-task and demonstrate initiative
